We are seeking a highly organized, proactive, and detail-oriented Dispatcher to join our operations team at a transportation company. The Dispatcher will play a critical role in managing the dispatch planning for a large team of 14 technicians located across Belgium. This role requires an individual with strong organizational skills, excellent communication abilities, and the ability to work efficiently under pressure. The ideal candidate will have an affinity for IT systems, especially with Microsoft tools and ServiceNow, and be able to manage traffic and operational disruptions with flexibility and calm.
Key Responsibilities:

Dispatch Planning & Coordination:
- Oversee and manage the daily dispatch planning for a team of 14 technicians throughout Belgium.
- Ensure tasks are allocated efficiently and promptly, taking into account operational priorities and technician availability.
- Handle last-minute changes, disruptions, or requests, adjusting the schedule as needed and ensuring minimal downtime or delay.
- Prioritize tasks effectively to address urgent issues while keeping track of long-term goals and responsibilities.

Communication & Multilingual Coordination:
- Act as the central point of contact for both internal teams and technicians, ensuring smooth communication across all channels.
- Fluent in French, Dutch, and English (trilingual), as this is a bilingual company with diverse teams and clients. Communication must be clear and concise in all three languages, ensuring no misunderstandings, especially during high-pressure situations.
- Coordinate across various departments (e.g., operations, technical support, management) and stakeholders, providing updates and managing expectations.

Problem-Solving & Prioritization:
- Take ownership of issues and tickets within the dispatch system (ServiceNow), ensuring they are resolved within a short timeframe.
- Demonstrate excellent problem-solving skills by identifying and addressing issues promptly, keeping service interruptions to a minimum.
- Manage incoming requests and demands, sorting through urgent and non-urgent matters, always staying on top of the bigger picture while handling the details.

Traffic & Operational Flexibility:
- Stay updated on traffic issues, construction zones, and other logistical challenges that may affect the technicians’ movements.
- Ensure technicians are flexible and adaptable, taking into account unexpected changes such as traffic jams or urgent rerouting.
- Maintain composure and ensure operations continue smoothly despite external challenges.

Leadership & Team Management:
- Manage and provide direction to 14 technicians across Belgium, ensuring clear communication and efficient workflows.
- Maintain authority when necessary, ensuring that technicians adhere to schedules, protocols, and operational procedures.
- Foster a positive and collaborative environment, supporting the team when challenges arise.

IT & Systems Management:
- Work with Microsoft tools (Excel, Outlook, etc.) to manage dispatch planning, reports, and team communications.
- Use ServiceNow (or similar systems) to monitor and manage incoming service tickets, ensuring quick resolutions and updates.
- Continuously assess and improve the efficiency of systems, processes, and workflows.

Qualifications & Skills:
- Languages: Trilingual (French, Dutch, and English)–required for effective communication with both the team and external stakeholders.
- Experience:
- Proven experience in a dispatching role, operational management, or a similar position in a technical or service environment is a plus.
- Familiarity with IT systems such as Microsoft Office, ServiceNow, or similar tools for scheduling and task management.

- Strong organizational abilities with a knack for prioritizing and managing multiple tasks simultaneously.
- Must be able to see the bigger picture while paying attention to the finer details.
